Job description, responsibilities and duties

Purpose:
The Facilities Coordinator will be responsible for the day-to-day operational facilities management service based on the client site. The position will be accountable for all facility operations within the designated properties including but not comprehensively the activities as listed hereafter.

Overall Achievement of the Management Plan
• achievement of accountable KPI’s
• managing and reporting of financial data / budgets vs. actual spent
• identifying and implementing cost initiatives
• Taking the lead on projects at client’s facilities

Main responsibilities:
Manage and coordinate the delivery of all Facilities Management services working together with the existing FM team.
To manage facilities/project management, from inception to completion for the client sites.
To fully manage current FM team to improving services to client.
Procurement of facilities services with agreement of the Regional Manager for EMEA
Manage and coordinate the activities of facilities related on-site and visiting contractors
Manage all service contracts including; cleaning, vending, security etc.
Establish effective day-to-day business relationships with the client and take a proactive approach to requirements.
Produce regular reports according to schedule agreed with the client.
Hold regular progress reviews to ensure client satisfaction.
Liaise with landlord’s property managers to ensure their service charge obligations are met.
Control all purchasing, ensuring competitive pricing, tenders, approvals and timely submission for settlement.
Manage existing and future projects from commencement till completion

Candidates with education suit the position

Secondary with school-leaving examination
Follow-up/Higher Professional Education
University student
University education (Bachelor's degree)
University education (Master's degree)
Postgraduate (Doctorate)

Language skills

English - Upper intermediate (B2)

Personality requirements and skills

Essential Experience:
Considerable experience in Facilities Management in the region, cross boarders preferred
Technical background and/or good experience in working with / managing Engineering teams
Project management experience and proofed understanding of processes
Budget Management Control experience
Team management experience
Evidence of working in a flexible changing business environment
Engineering or related qualification/background is essential, preferably with knowledge of building mechanical and electrical services

Skills Essential:
Excellent client relationship skills
Excellent oral and written communication skills in local language as well as English as minimum
Fluency in English is essential as this is the business language across the Global Corporate Services division of the CBRE Group and client organisations,
Numerical skills in setting up budgets and analysing quotations and other financial data
Excellent knowledge of local EH&S as well as Security policies and procedures / protocols.
Excellent accuracy and attention to detail
Team player / management skills
Strong organisational skills
PC literacy is essential;

Desirable Experience / Skills:
A minimum of 2-3 years of experience in the FM market including project management
Experience with short and long term budgeting in detail
Member of a Professional Facilities Management organisation
