Contract Management Specialist 

Job description
The job role of contract management specialist includes following responsibilities:
• Contract support:
o Pended hours research, analysis, reporting and resolution support
o Pended hours reports distribution
o Contract Gross Profit Pivot Reports: pulling, package and send reports
o Billing submission/contracts reconciliation, research analysis & reporting
o Order Reviews/Approvals (Bond and OrderNow)
o Asset management: password tracking, software consents, compliance, etc.
o Maintain all process & desk level procedures
o Aggregating forecasts for PE’s / PM’s from all contract data
o CBO Technical Environment Support for user accesses and report distribution
o Document filling and maintenance of Teamroom databases
o Quarterly credit check

• Billing management:
o Coordinate the invoicing process and ensuring smooth billing flow
o Submit billing, research analysis & business reporting
o Invoice Additional Resource Charge (ARC) /Reduced Resource Charge (RRC) and usage
o Invoice Request for Service (RFS) and Other Charges (claimed hours, hourly rates, remaining backlog)
o Order Reviews, approvals in place
o Track current status of billing cycle up to the invoices’ creation: Base Charge, True Up, RFS, Other Charges
o Secondary Control of consumption Global Reports (if applicable), Previews, Invoicing Preview Attachment and Final Invoice (if applicable)
o Account review pack validation, maintain contract spreadsheets
o Maintenance of proper repository (Team room, PGMP and other databases), store entire invoicing evidence
o Baseline list ownership and keep it up to date after each new signed amendment, contract change, RFS
o Make sure that each role fulfills all activities according to Baseline Document of Understanding
o Track if Baseline Resource Description is up to date and has all appropriate approvals and that each baseline has Work Instructions also with all appropriate approvals
o Attend baseline review board meetings, RFS meetings and others if applicable

• Reporting:
o Provide financial reports to the field
o SPL Support
o Customer/business reports
o Internal client-teams reporting
o ARC/RRC reporting
o Account review pack validation
o Maintain contract spreadsheets

• Other supporting activities:
o Maintain Starter/Leaver Process, update distribution lists and organizational charts
o Report and collect responses from meetings
o Address any concerns about discrepancies to Contract Business Office Manager
o Manage risk report
o Review of Separation of Duties matrix
o Arrange calls with people on the account Collect input during the account meetingStore evidences related to the contract change, document control, formal correspondence and baselines in the team room
o Manage mailbox/task id and recognize email/evidence importance
o Handle Email/request from task id per priority
o Create risk report in the appropriate tool
o Request an action from the local team to store evidences in PgMP
o Maintain team room structure
o Grant team room access
o Perform Annual CBN validation.
o POST administration for OCMS/PgMS

Skills Required:
Excellent verbal and written communication in English, additional language is an advantage
Strong interpersonal and coordination skills
Ability to work independently and as part of a team
Self motivated, confident, and pro-active
Attention to detail
Advanced MS Excel skills, other tools: MS Office, Lotus Notes, ePgMS, PCMS, PgMP, IPWC
Very good understanding of contract management processes and their linkages from invoicing and billing angle
Business office insight
Critical thinking
Assertive communication
Coordination skills
Team player
Required
  • Bachelor's Degree
  • At least 2 years experience in experience in communication with clients
  • English: Fluent
Preferred
  • Master's Degree
