Job description, responsibilities and duties

To provide excellent and comprehensive secretarial and administrative support to the Chief Executive Officers (Partners) in order to ensure:
• Solid support to the Partners strategic leadership of the organization;
• The effective management of Board-level and Senior Management Team (SMT) meetings;
• The effective running of the secretariat, including management of the budget.

Duties and Responsibilities
Support the Partners in their daily work:
• Assist the Partners in maintaining good relations with external contacts and networks; diary management; handling correspondence; setting up conferences and Skype calls; maintaining a contact database; greeting and meeting visitors to the office;
• Develop and maintain close working relationship between staff and Partners’ office, including in her absence;
• Organize and administer key governance, management and weekly staff meetings including the timely distribution of papers to members and ensuring meeting rooms are ready and in good order;
• Organize Board and Management Advisory Committee (MAC) meetings under the instructions of the Partners and Chair of the Board on agendas and meeting papers;
• Organize the agendas and take minutes for Senior Management Team (SMT) and other meetings as requested by the Partners;
• Take minutes at the Board and its committees, Outreach Steering Group and Strategic Leadership Forum and monitor the fulfilment of all action points;
• Take responsibility for financial management of the Partner’s office, including governance, ensuring accurate allocation of costs, budget-holder authority and monitoring expenditure against approved budgets;
• Make detailed travel arrangements for the Partners as required, to include arranging itineraries, visas, accommodation, cash advances, submitting expenses, liaison with other departments and external contacts;
• Develop and maintain the Partners’ paper and electronic filing and information systems;
• Assist the “all hand company meeting” with the organization and implementation of annual staff planning days;
• Assist with research and presentations as required.

Travel requirements
The post is Slovakia based, but may in time be required to travel

ESSENTIAL REQUIREMENTS
• Excellent English (spoken and written)
• Minimum undergraduate degree
• Experience of taking fast and accurate minutes
• Proven ability in the preparation of meetings
• Excellent written communication skills, including the ability to draft documents and correspondence and accurately transcribe
• Good friendly verbal communication skills, including cultural sensitivity and discretion in dealing with confidential or sensitive information
• Excellent interpersonal skills, including team working, liaison and ability to be persuasive when progress-chasing other staff, managers and trustees
• Good computer literacy, e.g. database and spread sheets
• Excellent proven organizational ability, time management and work planning
• Ability to meet deadlines under pressure and calmly to manage several competing priorities

DESIRABLE REQUIREMENTS
Experience of working in or liaising with other international organizations
Working understanding of a fast pace environment and different cultures
