Information about the position

Job description, responsibilities and duties

Responsibilities:

• Travel arrangements:
Travel Arrangements for Consultants and Staff covering all NATEK locations (BG, CZ, PL, SK),
Preparation and validation of Travel Orders (TPO)

• Reimbursements & Payments:
Stand-in for validation of expenses reimbursements and their approval in Expenses Tool covering all NATEK locations (BG, CZ, PL, SK),
Preparation of reimbursements for travels and face-to-face using templates covering all NATEK locations (BG, CZ, PL, SK),
Stand-in for updating of NSFS (M-Files) tool (Interface with Accounting Department),
Stand-in for preparation of bank transfers for expenses payments covering all NATEK locations (BG, CZ, PL, SK),
Preparation of data for monthly invoices for expense processing for NATEK group

• Reporting:
Ensure use and quality of information logged in NATEK internal tools namely: NSFS (M-Files), Expenses tool,
Weekly organization and leading of Expenses team meeting/call: prepared reimbursements and arranged travels of the week, operational issues,
Weekly reporting on Expenses issues to Invoice and Expenses Specialist,
Monthly reporting on Expenses: finished reimbursements for invoicing and for payment, Maintain NATEK’s professional and ethical commitments to its customers, employees, and candidates.

• Expenses tool update:
Regular bug tracking and debugging of Expenses tool, Keeping up-to-date of Expenses tool text in order to be in-line with legislation of all NATEK locations,
Development of Expenses tool in order to enhance user-friendliness of Expenses tool
Updating and development of Reimbursement templates in Excel Monthly escalation, review and resolving of Expenses tool development issues to Invoice and Expenses Specialist and Internal IT Tools Coordinator
