DAY IN LIFE

Coordinate the Medtronic HCP Training & Education event logistics lifecycle:
• Full review of the Event requests: verify if all necessary documents are attached for the successful creation of the event in the system.
• Coordination of the full event logistics lifecycle: organize event logistics (venue, hotel, travel, restaurants, catering, transfers)
• Act as a key contact for the Event requestor and Local Front office
• Gatekeeper for the country compliance rules
• Collect all necessary compliance documentations
• Build and maintain the event website
• Provide and manage the event budget and allocate to the correct suppliers and categories
• Collect feedback on the event logistics

Supplier management:
• Negotiate with suppliers and obtain quotes for venues, hotels etc. Sign contracts whenever applicable.
• Manage the relationship with the external travel provider and ensure the adherence to the SLAs.
• Create and maintain the database of preferred suppliers

Financial responsibilities:
• Ensure that all event related invoices are properly processed and paid on time
• Ensure all event costs are within the approved budget
• Resolve any payment related queries
• Validate the monthly accruals for Event costs

Other responsibilities:
• Prepare dashboards, status updates and reports on spend
• Develop/maintain the standard operating procedures
• Actively participate in continuous improvement

Requirements for the employee

English - Advanced (C1)

Personality requirements and skills

MUST HAVES

• At least 1 year Event management or Front office experience
• Excellent organizational skills and attention to detail;
• Ability to work in a fast paced environment, with multiple and changing priorities while maintaining strong focus on execution and results;
• Problem-solving skills and diplomacy;
• Strong communication skills in English. Additional languages (French/Polish/Italian) a plus;
• Teamwork and negotiation skills;
• Flexible and adaptable approach;
• Essential business system software knowledge/skill including Microsoft Office, Outlook;
• Excellent customer focus;
