Job description, responsibilities and duties

Devoteam office is located in the heart of Prague and we are looking for our "hearth" of the office who will ensure everything is up and running and who will create a great place to work. That includes dealing with admin and accounting tasks, being go-to person within the office for all questions related to the office management, preparing and organizing company events and onboarding newcomers. What will you do?

Accounting support - 50 %

- Regular weekly reminders to fill in the timesheets in internal attendance system
- Weekly reports of project / non-project time
- Processing and checking of the accounting documents
- Archiving the documents
- Issuing and processing invoices in the accounting system
- Checks for completeness of self-billing invoices issued
- Checking unpaid invoices and customer dunning
- Collecting invoices from external consultants
- Collecting Electronic mailbox and distribution to authorized persons

Office management - 25 %

- Go-to person within the office for all questions related to office management
- Travel bookings arrangements, point of contact for agencies
- Keeping updates of the handover protocols for IT equipment
- Administrative help with the monthly payroll report
- Organization and preparation of team events

Reception - 25 %

- General support to visitors
- Accepting and sending the post and parcels
- Regular orders
- Maintaining the condition of the office
- Access and visitor’s cards
- Point of contact for Facility Management and suppliers
- Requesting transfers of the phone numbers for newcomers/leavers (T-Mobile)
- Communication with the vendors and insurance company

- Advanced English and Czech / Slovak
