Job description, responsibilities and duties

• Manages (Controls, Validates, Creates, Plans, Coordinates, Process) customer orders to deliver them in the specific time, quality, costs & KPI,
• Manages more complex orders that are steered by project management. Develops solutions for non-standard services or requests,
• Provides consultancy for non-standard solutions, in order to identify the special measures required for the execution of the given order,
• Creates final price calculations for technical solutions.

Key accountabilities
• Act as an order entry gate for the customer,
• Processes/creates orders for customers in specific tools to deliver customer requests,
• Receives and validates customer requests in tools and collect all necessary information, documentation to complete the order,
• Reviews the background documentation and transfer prices, taking into account any detail, guarantee or quality standard that may affect the price,
• Manages approvals and order specification in pre-order phase,
• Plans orders commercially in specific tools – assigns cost allocation to implementer’s teams,
• Plans orders technically in specific tools – assigns active tasks to implementer’s teams and releases order into production,
• Provides support to implementer’s teams to deliver customer requests in time and quality,
• Manages and verifies the ordering path from receipt through delivery and billing, updates the transaction tracking records,
• Orders services or products within the company, for approved purchases,
• Optimizes, and if needed, escalates the delivery deadlines, and notifies the parties concerned accordingly,
• Has up-to-date information on suppliers' product portfolios, and regularly uses tools supporting the ordering process,
• Follows up the implementation/deployment with the service providers,
• Checks the elements of service provision in terms of quality, quantity and costs,
• Represents the Delivery Partner towards the Order Requestor, regularly updates on the status of order execution, as well as the steps taken to solve the difficulties arising,
• Manages related customer complaints,
• Participates in telephone conferences regarding orders status, process efficiency & adjustment,
• Delivers requestor/customer acceptance of delivered service,
• Verifies and confirms deliveries. Reviews and approves completed orders,
• Enforces any expected service standard / level,
• Resolves problems that may occur during the process using the support provided by the professional management, as needed,
• Knows and applies all order management, customer and supplier specific regulations involved in the basic process,
• Has up-to-date knowledge of the company's purchasing strategy and products,
• Provides updates related to requests throughout the entire process and administers the process documentation,
• Prepares standard reports for the customer and the management,
• Trains, mentors and coaches other colleagues within Order management topics,
• Assists within/and clarifies the process for new products with account stakeholders in order to implement Order management process,
• Supports and cooperates with project teams & order requestors to deliver complex order process,
• Makes recommendations or suggestions on optimization measures relating to processes, reporting and quality improvement (based on the analysis),
• Reviews assignments in terms of compliance with supplier contracts and the company's purchasing strategy,
• Supports customers in their actual projects and commercial issues concerning the product specific ordering process, product configuration deadlines and quantities,
• Actively participates in the renewal of expiring supplier contracts, and for new suppliers, in the preparation of contracts,
• For certain suppliers and products, prepares the proposal based on the available technical concept,
• Ensures the provision of contractual services, monitors enforcement of the deadlines and escalates problems,
• Prepares reports on orders with the required form and content. Prepares customer reports in related to completed services,
• Upon the customer's request, investigates the status of orders and deliveries not yet invoiced,
• Is responsible for assignments constituting higher added value,
• Manages escalation processes, either individually or assisted by his/her professional supervisors, and manages the information flow to the customer.
• Performs project tasks, as well as ones requiring more complex solutions.
• Holds regular teleconferences for his/her associates processing the assignments, in order to review actual tasks and discuss problem issues.
• Takes proactive steps to ensure the service delivery within the respective time limit.
• Supports the billing process between the contracting party and the internal requestor.
• Manages project related orders (bulk orders).
• Carries all responsibility necessary to meet the contractual service requirements and is monitoring the Quality of provided service within order management area,
• Is functionally leading other order managers,
• Leads small project teams in order to process complex orders, takes part in the localization of new report types, including process development.,
• Develops calculation methods and designs report structures, collects price quotations from subcontractors,
• Documents the Order Management related process,
• Develops ad hoc reports for the management and the customers, is SPOC/interface between customer and operation/production,
• Closely cooperates with SDMs, SCOPMs, OPMs, PMs, PPLs, SDM Support, PSD/Solution architects, deployment groups, provisioning and other stakeholders,
• Is accountable for tracking and tracing of orders, is identifying potential risks / blocking points of implementation and delays of orders, managing migrations calls and escalations, troubleshoots delivery of orders in project management phase,
• Provides inputs to Design Solution Manager for the price calculation, is accountable for sending the offer to the customer,
• Creates final price calculations for technical solutions, responsible for creating and sending the offer to the customer in alignment with the account stakeholders,
• Makes proposals with an aim to optimize production, is responsible for key accounts and major deployment rollouts, supports the follow-up and execution of critical orders,
• Makes proposals for the use of different products/ technologies/ infrastructures, if the same provides a better solution,
• Provides consultancy for non-standard solutions, in order to identify the special measures required for the execution of the given order, highlights improvement opportunities (automation, processes, efficiency, quality) and collects input from multiple sources,
• Actively participates in development and cross-division process optimization initiatives,
• Participates in consultations aimed to identify a business solution for major projects,
• Ensures the professional conditions required for the quality aspects of service provision, as well as the performance of contractual obligations for international strategic customer contracts and projects,
• Provides professional consultancy to customers for the creation of orders, independently manages escalations,
• Monitors, manages, documents and actively promotes the ordering process in cooperation with internal and external teams,
• Manages the transfer of new tasks during T&T and transition phase.

Wage (gross)

971 EUR/monthFinal salary is negotiable. We are offering base salary depending on seniority level and previous experience of candidate. In addition to base salary we provide variable part and other financial benefits. Base salary will not be lower than 971 EUR/brutto.
