We are seeking passionate individuals to join this agency as Administrative Services Coordinators.
Job Responsibilities:
As an Administrative Services Coordinator, you will be instrumental in ensuring the seamless operation of the Agency by overseeing various administrative tasks, including:
Meeting & Event Coordination

• Organizing both online and physical meetings and events pertinent to the Agency's administrative functions.
• Drafting agendas, issuing invitations, coordinating catering support, reserving venues, and managing attendee lists.

Clerical Support

• Providing clerical assistance such as drafting correspondence, compiling minutes, generating reports and presentations, and maintaining databases.
• Monitoring project progress, proofreading, and formatting documents to uphold accuracy and professionalism standards.

Document Management

• Overseeing the management of electronic and physical archives to facilitate efficient document archiving and retrieval.
• Coordinating internal validation workflows, document registration, and correspondence management.

Travel Arrangements

• Facilitating business travel arrangements, including booking transportation and accommodations.
• Processing reimbursement claims, researching optimal travel itineraries, and managing reimbursement procedures.

Administrative Support

• Providing administrative assistance across corporate functions such as financial and human resources management, procurement, ICT, and facilities.
• Maintaining databases, preparing presentations, organizing team events, scheduling meetings, and other related tasks.

Candidates with education suit the position

University education (Bachelor's degree)

Language skills

Czech - Proficiency (C2) and English - Advanced (C1)

• Fluent Czech Language
• Proficiency in English at B2/C1 level.
• Proficient command of MS Office.
• Good communication, multitasking, organizational skills and a professional approach
• Experience in a professional/ corporate/governmental environment
• EUROPEAN CITIZENSHIP is mandatory.
• Submission of CV in EUROPASS format in English with a photo (preferably in document format).
• Signing the "Declaration on confidentiality and absence of professional conflicting interest".
