Information about the position

Job description, responsibilities and duties

You will provide full executive and administrative support to the Chairman of the Board. The ideal candidate will have experience as a PA to a General Manager or Head/Commerce Director of an SME and be a specialist in protocol, finance, legal and business translation.

The major areas directed are:

• Recording of all tasks and tracking of all reports provided
• Monitor and control tasks, analyze them and check their prompt and qualitative execution
• Ensure that any issues or problems are flagged instantly and reported to the appropriate contact
• Ensure that they take minutes and are present at all negotiations, eventually representing the Chairman and holding negotiations on his behalf
• Occasionally representing the Chairman at some meetings/calls, responding to business calls and filtering them accordingly
• Business correspondence should be analyzed and sorted on a daily basis
• Reporting assistance (information and reports gathering and timely providing of it to the Executive Office for further processing)
• Internal communications management with Company's departments
• Liaising with external organizations and business partners to arrange meetings, prepare agendas and draft minutes
• Coordinating business appointments and conference calls
• Providing information support
• Preparation and editing of documents, presentations
• Preparation of agendas/schedules/meeting summaries
• Occasional travel to international meetings when appropriate
• Overseeing quarterly report compilation and other reports compilation as per Management request

Requirements:

• Minimum of a Bachelor's degree or equivalent education level
• Excellent oral and written communication and negotiation skills
• Excellent computer skills
• Fluent English and Russian
• Knowledge of French, Arab, or German languages an advantage
• Self-driven, initiative, creative, ability to work under pressure, responsibility.
