Job description, responsibilities and duties

As a Head of Back Office team you will be responsible for managing the team of 6 persons within Concierge, Travel, Quality and Control units with the following key responsibilities:

- Managing daily operations of the premium back office and operations team: booking airfare, hotels, cruises, activities, transportation, private jets. Sourcing exclusive shopping items, restaurant reservations etc.
- Setting and controlling meeting performance targets for speed, efficiency, sales and quality
- Handling the most complex shareholder enquiries, confirm availability and pricing in prompt, professional manner
- Liaising with supervisors and team leaders from other offices in London, Dubai and Kiev
- Build and maintain profitable partnerships with key travel and concierge stakeholders
- Build and execute strategy for existing client profitability and growth performance as well as open up new relationships for Insignia Lifestyle Services Europe within the Travel and Concierge sector
- Drafting shift patterns and the number of staff required to meet clients’ demand
- Resolving schedules conflicts and other issues may come up
- Reviewing the performance of staff, identifying development needs and planning training sessions
- Coaching, motivating and retaining staff and coordinating bonus, reward and incentive schemes
- Interviewing potential staff
- Updating colleagues on business performance, new initiatives and other pertinent issues
- Monitoring CRM use and CRM filling by BO employees
- Maintaining up-to-date knowledge of industry developments
- Administer travel policies and budget.
