Information about the position

Job description, responsibilities and duties

Comprehensive administrative support to the Regional Management Team in Prague in order to ensure the smooth operation of daily tasks and the successful execution of regional projects

Calendar management, organization and coordination of meetings and business trips (booking flights, accommodations and transportation )

Preparation and distribution of correspondences, reports and presentations as well as maintenance ofv records, files and databases ensuring confidentiality and data security

Serve as point of contact for internal and external stakeholders, providing timely responses or inquiries

Facilitation of communication between the regional management team and various departments, offices and external partners

Recording business transactions and providing information to internal and external bodies as well as processing inquiries

Support in purchase and finance related operations - obtaining initial offers from suppliers in particular, implementing requirements reports on the system side in order to trigger purchasing processes and complete them in the system

Regular preparation, organization and follow-up of internal and external events (e.g. meetings, workshops). Completion of subsequent billing, booking and invoicing trips according to company guidelines

Preparatory administration when an employee joins as part of the internal guidelines (e.g. applying for roles, creating training plans) in cooperation with Office Manager

Assist with special projects and initiatives as assigned by the regional management team

Ad hoc assigned additional tasks and responsibilities based on the evolving needs of the management team and projects

Requirements for the employee

Candidates with education suit the position

Secondary with school-leaving examination

Language skills

English - Upper intermediate (B2)

Other knowledge

Microsoft Office - Skillful

Personality requirements and skills

Proven experience in administrative support roles in international environment, preferably in corporate or regional setting and in cross functional roles

Fluent English and good Czech knowledge, other EU languages are advantage

Strong proficiency Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications

Familiarity with SAP, Salesforce/Sales cloud and project management tools/SW is advantage

Excellent organizational skills with the ability to multitask and prioritize tasks effectively

Strong communication skills, both written and verbal, with a professional and courteous demeanor

Ability to work independently with minimal supervision and as part of a team in a fast-paced environment

Attention to detail and high level of accuracy in all tasks

Discretion and confidentiality when handling sensitive information
